Reactivation rule

HighLevel can execute a reactivation workflow, but the work begins with segmentation, source history and suppression—not the workflow builder.

Build the cohort map before the workflow

HighLevel can provide the contact, workflow and communication infrastructure for reactivation, but the quality of the campaign depends on the database. Start with source and consent context, then segment old contacts by relationship and relevance before any automated outreach.

CohortInitial treatment
Past clientsRelationship-aware re-entry; human ownership
SpherePersonal context first; avoid cold-lead cadence
Old buyer leadsSegment by source/timing where known
Old seller leadsPreserve property context and timing
Unknown-source / suppressed recordsManual review or exclusion

Clean source, duplicates and suppression data

A clean reactivation project makes a deliberate decision about which contacts can be messaged, which should be handled manually and which should remain suppressed. HighLevel's automation is useful after those decisions exist.

  • Deduplicate email and phone records
  • Preserve opt-out and do-not-contact state
  • Keep original lead source when available
  • Assign an owner before launch
  • Create a reply queue the team can actually handle

Launch a test batch small enough to handle manually

Past clients, sphere contacts, old buyer leads and old seller leads can be placed into separate cohorts with different messages and owners. Unknown-source records or prior opt-outs should not be swept into the same automated batch.

  1. Export or back up the database before cleanup.
  2. Identify duplicates, obvious invalid records and suppression statuses.
  3. Segment past clients, sphere, old buyer leads and old seller leads separately.
  4. Create a small test segment.
  5. Use a modest re-entry message tied to the relationship context.
Messaging constraint. HighLevel's current A2P guidance says a captured phone number is not by itself SMS consent. Keep source and consent context intact, and do not treat a database import as permission to text.

Route replies by intent—not merely by campaign

Small test batches make reply handling and data problems visible. Sending the entire database at once may create a larger short-term response spike but also magnifies compliance, deliverability and staffing problems.

Start with a cohort small enough that a human can respond quickly. The purpose of the workflow is to surface real conversations, not maximize send volume.

Move reactivated contacts into the normal CRM lifecycle

When a contact replies, classify the outcome: active buyer, active seller, future timing, relationship nurture, not interested or suppress. Then move the record into the normal CRM lifecycle instead of leaving it in a permanent reactivation campaign.

  • Importing an unknown list and calling it reactivation.
  • Starting with the entire database.
  • Ignoring old opt-outs.
  • Using the same script for past clients and cold portal leads.
  • Measuring success only by message volume.

Evaluate HighLevel for controlled reactivation

HighLevel can provide the CRM, workflow and conversation layer, but segmentation and consent decisions still belong to the operator.
