The real cost of a CRM is the base subscription plus users, communications, add-ons, implementation and the systems it does or does not replace.

Build the cost stack before comparing plans

CRM pricing is difficult to compare because vendors package seats, calling, texting, automation, websites, AI and onboarding differently. The useful question is not “Which plan is cheapest?” but “What will this workflow cost at the size and communication volume I actually expect?”

Communication costs can sit outside the base subscription

A ten-person team should not compare a $69-per-user plan with a $297 platform plan by looking only at the first number. It needs to add the users, calling/texting model, onboarding burden and any specialist tools that remain outside the CRM.

HighLevel's current Phone System pricing, for example, separately lists number rental, SMS/MMS, carrier pass-through fees and A2P registration. Those usage costs are not captured by quoting only the base subscription.

Price the CRM at today's team size and next year's

A lower subscription can become expensive if it creates manual work or requires several paid add-ons. A broader plan can also be wasteful if the business uses only basic contact management.

When annual billing is a bad idea

Annual billing can reduce unit price, but it is a poor bargain when the team has not proven adoption. Pilot the workflow before prepaying for a long period.
